See where your chair time goes.
See how much of your chair time is used, where the rest goes and how much comes back, with every practice measured the same way.
Sample practice and patient names.
Most practices cannot say how much chair time they lost last month
Practice software records appointments, not empty chairs. Instead, occupancy, no-shows and refilled slots sit across reports that each use their own definition, if they exist at all.
So the practice answers the questions that matter, where did the time go and is it getting better, by feel. Besides, you cannot compare two practices, because they do not measure the same thing.

How Insights works
We built the dashboards around one weekly decision: where did chair time go last week, and what is the one change that gets it back. Everything else is detail behind that.
Read last week
Occupancy, no-shows and recovered hours against the four weeks before, per clinician and per treatment type.
Find the leak
Insights separates no-shows, cancellations that never entered the queue, and slots that stayed open, because they need different fixes.
Change one rule
Reminder timings, which treatments may be offered short notice, or the size of the waitlist offer. One change per week, so cause and effect stay legible.
Report it
In addition, the weekly summary lands by email and exports as CSV or PDF, ready for a practice meeting or a group review.
Today and tomorrow only: what is at risk, what is open, what needs a decision.
Weekly and monthly chair time, per clinician and per treatment, with the change history.
The same figures per site, rolled up. See the group view.
Pick a figure and watch it move.
The same six figures a practice manager reads on a Monday. Choose one to see twelve weeks of history, where it sits against other practices, and also the decision it drives.
Definition
Sample data for one practice, shown to illustrate the reports. However, the definitions and the ranges are the real ones, taken from the table above.
Decisions about chair time made on figures, not on feel
Chair occupancy as one clear figure
Attended clinical time against available clinical time, calculated the same way every week.
See exactly where the time went
Insights shows no-shows, cancellations that never entered the queue and slots that stayed open apart, because each needs a different fix.
Per clinician and per treatment
Find the clinician, day or treatment type where chair time is lost, instead of one practice average.
A weekly summary every Monday
The figures also land by email and export as CSV or PDF, ready for the practice meeting.
Comparable across sites
Insights measures every practice on the same definitions, so a group can compare sites with confidence.
For DSOsThe right figures for each role
Front desk sees today and tomorrow, while managers see their practice and group roles see every site.
The six figures, defined
In fact, most disagreements about chair time are disagreements about definitions. That is why TurnUp World uses these, unchanged between practices and between sites in a group, with the benchmark we see across customers.
- Chair occupancy
- Share of available clinical time filled by an attended appointment, measured against your opening hours.
- 84 to 97%
- No-show rate
- Appointments the patient neither attended nor cancelled in time to reuse the slot, as a share of all appointments.
- 1 to 4%
- Entry rate
- Share of cancellations that enter a recovery process at all, rather than being left as a gap.
- 7 to 90%
- Refill rate
- Share of cancellations in the recovery process that another patient then books.
- 30 to 60%
- Recovered chair time
- Clinical hours booked into slots that patients had cancelled or that stood open, counted after the fact.
- 20 to 40h / month
- Recall compliance
- Share of patients due for recall who have a future appointment booked.
- 55 to 85%
Ranges are the spread across TurnUp World customers in the UK, Belgium and the Netherlands between 2024 and 2026, rather than a target. For example, a practice with 84% occupancy and a 60% refill rate is usually losing more chair time at the entry stage than in the refill stage.
